Exhibitor Rules & Regulations

1. Purpose & acceptance

The UFC GYM Global Franchise Convention 2027 (the “Event”) is presented by UG Franchise LLC (“UFC GYM,” “we,” “us,” or “our”). These Exhibitor Rules & Regulations (“Exhibitor Rules”) govern all sponsors and vendors (“Exhibitor,” “you”) participating in Vendor Village at the Event, held February 17–19, 2027 at Fontainebleau Las Vegas (the “Hotel” or “Venue”). By registering for or occupying exhibit space, Exhibitor agrees to comply with these Exhibitor Rules, the UFC GYM Convention 2027 Terms & Conditions, your executed sponsorship agreement, and the Fontainebleau Las Vegas Contractor & Vendor Policies & Procedures, which are incorporated into these Exhibitor Rules by reference and summarized in Exhibit A below.

2. Eligibility & registration

  • Exhibit space is available to confirmed sponsors per their sponsorship level and to approved in-kind vendors.
  • Sponsor registration, including exhibitor badge counts and Vendor Village details, must be completed by November 1, 2026. Sponsorship payment in full is also due by this date, per your sponsorship agreement.
  • The number of complimentary team badges included is determined by sponsorship level ($5,000–$50,000 tiers); additional attendees beyond your allotment may register at $499 per person.
  • Every individual attending under your sponsorship, including those within your allotment, must be listed in the Team Attendees section of your sponsor registration. Listed attendees are registered automatically and receive their badge at check-in — no separate registration is required.

3. Booth assignment & Vendor Village logistics

  • Booth placement is assigned by UFC GYM based on sponsorship tier and equipment/utility needs; higher tiers receive priority placement.
  • Table type (cocktail table or 6x6 space), electrical needs, internet access, and special setup requirements must be submitted at the time of registration.
  • Power, rigging, and internet service in the Conference Center are provided exclusively by Encore per Hotel policy—outside providers are not permitted to furnish these services.
  • The Hotel will not accept collect shipments or packages consigned directly to an exhibitor booth. Exhibitor shipments must be coordinated through the event's General Service Contractor; see your Vendor Village logistics packet for shipping and advance warehouse instructions.

4. Move-in / move-out

  • Sponsor & Vendor Team Arrival (load-in): Tuesday, February 16, 2027.
  • Move-out begins immediately following the close of programming on Friday, February 19, 2027.
  • All load-in/load-out activity must be scheduled in advance through the Hotel's dock scheduling system and is subject to the Hotel's loading dock, elevator, and floor load limits described in Exhibit A.

5. Code of conduct

  • Exhibitor staff must conduct themselves professionally, respectfully, and cooperatively at all times while on Hotel property.
  • Company-issued badges must be worn and visible at all times in back-of-house and event space.
  • Consumption of drugs or alcohol while on duty, theft, and disruptive or unsafe behavior will not be tolerated and may result in removal from the Event without refund.
  • UFC GYM reserves the right, in its sole discretion, to remove any Exhibitor or staff member whose conduct is inconsistent with the professional standards of the Event.

6. Booth display & materials

  • All signage, banners, and display materials are subject to Hotel approval and must comply with Clark County Fire Marshal regulations—no open flames, candles, or pyrotechnics; helium balloons may not exceed 36″ in diameter; mylar balloons are prohibited.
  • Cooking demonstrations, vehicle displays, or special activations must be pre-approved by both UFC GYM and the Hotel at least 30 days prior to the Event.
  • All carpet, floor, and wall protection requirements described in Exhibit A apply to Exhibitor's installation, and Exhibitor is responsible for any damage or additional cleaning costs resulting from noncompliance.

7. Insurance requirements

Exhibitor must obtain and maintain, at its own expense, and must provide a Certificate of Insurance no later than 14 calendar days prior to the Event evidencing the following minimum coverage:

  • Commercial General Liability: $5,000,000 per occurrence, combined single limit for bodily injury and property damage
  • Workers' Compensation: statutory limits in accordance with Nevada law
  • Employer's Liability: $1,000,000 per accident
  • Commercial Automobile Liability (if bringing any vehicle on-site): $1,000,000 combined single limit
  • Fontainebleau Las Vegas and UFC GYM must each be named as additional insureds

Certificates of Insurance must be submitted to convention2027@ufcgym.com and to Fontainebleau Las Vegas Risk Management at risk@fblasvegas.com. Failure to provide proof of insurance may result in denial of access to exhibit space, at UFC GYM's sole discretion.

8. Damage & liability

Exhibitor is responsible for any damage to the Hotel or Conference Center caused during installation, the Event, or dismantling, and for any loss or damage to Exhibitor's own equipment. Exhibitor agrees to indemnify, defend, and hold harmless UFC GYM and Fontainebleau Las Vegas, and their respective employees and agents, from and against any claims, losses, damages, or costs (including reasonable attorney's fees) arising out of or connected with Exhibitor's use of the exhibit space, except to the extent caused by the sole negligence or willful misconduct of UFC GYM or the Hotel.

9. Cancellation & refunds

Sponsorship payments are due in full by November 1, 2026 and are non-refundable once submitted, regardless of the reason for cancellation or non-attendance, except as UFC GYM may otherwise agree to in writing. This non-refundable policy applies specifically to sponsorship and exhibit space fees; general attendee cancellation and refund terms are addressed separately in the UFC GYM Convention 2027 Cancellation & Refund Policy, available at https://ufcgymconvention.com.

10. Compliance with hotel policies (Exhibit A)

Exhibitor acknowledges that the Fontainebleau Las Vegas Contractor & Vendor Policies & Procedures are incorporated into these Exhibitor Rules by reference in their entirety, and agrees to comply with all requirements therein. A summary of key requirements is provided below; the complete document will be provided to all registered Exhibitors and is available upon request at convention2027@ufcgym.com.

Exhibit A — Summary of Fontainebleau Las Vegas contractor & vendor policies

  • Staff & badges: A main point of contact and on-site lead representative must be designated 30 days prior to arrival; a full staff list is due 3 business days prior. Hotel badges must be obtained and returned daily; a $100 fee applies per unreturned badge.
  • Code of conduct: Fontainebleau is a non-smoking property; theft, drugs, and alcohol on the job site are strictly prohibited; bicycles, scooters, skateboards, and hoverboards are not permitted inside the building.
  • Loading docks:All deliveries require an advance dock appointment via the Hotel's online scheduling system (SuperSaaS); no truck staging or overnight parking is permitted at the dock.
  • Elevators & floor load:Front-of-house elevators and escalators may not be used for load-in/out; ballroom floor load limits range from 100–200 psf depending on level.
  • Encore exclusivity: Encore is the exclusive provider of power, rigging, and internet services in the Conference Center; outside AV/production companies may only work on-site if they follow contractor/vendor policies and are approved in advance by Encore.
  • Shipping: FedEx Business Center is the exclusive shipping provider; the Hotel will not accept collect shipments or packages consigned to an individual exhibitor booth.
  • Carpet & fire marshal compliance:All freight paths and carpeted areas must be protected with Visqueen or equivalent before equipment is brought in; open flames, candles, and pyrotechnics are prohibited; gatherings of 300+ require a Fire Marshal–approved diagram.
  • General compliance: A pre- and post-show walkthrough is required; Exhibitor is liable for any damage identified. Cutting metal or wood on-site is strictly prohibited.
  • Insurance & safety:The Group (UFC GYM) is contractually required to ensure all contractors, subcontractors, and vendors meet the Hotel's insurance requirements and submit Certificates of Insurance no later than 14 days prior to the Event; safety documentation (Safety Manual, Hazard Assessments, OSHA training records) must be provided to Hotel Risk Management prior to arrival.

11. Governing law

These Exhibitor Rules are governed by the laws of the State of California, without regard to conflict of law principles, except that requirements specific to the Venue's location (such as Nevada workers' compensation statutes and Clark County fire and safety codes) remain governed by Nevada and local law as applicable.

12. Changes to these rules

UFC GYM reserves the right to amend these Exhibitor Rules at any time. The most current version will be posted at https://ufcgymconvention.com and provided to registered Exhibitors.
