What we collect

When you register, we store:

• Your name, email address, phone number and role.
• Your club or organization, its location and your region.
• The name and phone number of your emergency contact, and — if an assistant registers on your behalf — their name and email address.
• Anything you type into the notes field.
• Whether you opted in to convention update emails.

We also record how you arrived at the site (referring page and campaign tags), your browser's user-agent string, and a one-way hash of your IP address. The hash lets us spot automated abuse; we do not store the address itself and the hash cannot be reversed back into one.

Why we collect it

• To hold your place and contact you about the convention.
• To plan capacity — headcount, room sizing and catering.
• To send you convention updates, if you opted in.
• To protect the registration form from automated abuse.

We do not sell your information, and we do not share it with sponsors or vendors.

Other people you tell us about

Registration covers you alone. Where you do give us someone else's details — your emergency contact, or an assistant registering for you — you are sharing their information with us. Please make sure they are happy for you to do so. They can contact us directly to see or remove their details.

Email and sign-in

Signing in uses a single-use link sent to your email address rather than a password. We store only a hashed form of that link, and it expires after 15 minutes.

Transactional email (your confirmation and sign-in links) is sent through Resend. Update emails are only sent if you opted in, and every one carries an unsubscribe link.

Cookies

We set one cookie, and only after you sign in: a signed session cookie that keeps you signed in for 30 days. There are no advertising or third-party tracking cookies on this site.

Where it is stored and for how long

Registration data is held in a managed Postgres database and the site is hosted on Vercel. We keep registration records for the duration of the event and its follow-up, then delete or anonymise them.

Your choices

You can sign in at any time to review or change your details. To request a copy of your data, correct it, or have it deleted, email convention2027@ufcgym.com. Deleting your registration cancels your place.
